How the CallHub CRM mobile application collects, uses, and protects information.

This Privacy Policy explains how the CallHub CRM mobile application (the “App”) collects, uses, discloses, and safeguards information.

CallHub CRM is an internal business tool provided to authorised staff (such as call-centre agents, counsellors, department heads, and administrators) to manage enquiries, calls, follow-ups, and admissions. It is not intended for use by the general public. By using the App, the authorised user acknowledges the practices described here.

1. Information we collect

a. Account & staff information

When an authorised user signs in, we process their account details, including name, email address, phone number, assigned role, and department. Sign-in credentials are transmitted securely to authenticate the session.

b. CRM records entered or managed in the App

Staff use the App to create and manage records about enquiries (leads), follow-ups, admissions, and students. These records may include personal information about those individuals, such as:

c. Call activity

To provide call-management features, the App processes details of calls handled through it or on the device, such as the phone number, call direction (incoming/outgoing), outcome, duration, timestamp, and any notes the agent records. This lets the App recognise a caller as an existing lead and log call attempts against the correct record.

d. Call recordings

The App can read call-recording audio files created by your device's own phone/dialer application so that an agent can associate a recording with the corresponding CRM call. Where recording upload is enabled, such audio files may be transmitted to and stored on our backend server for authorised playback in the CRM. The App does not itself initiate or force call recording.

e. Device & technical information

To operate reliably, the App processes limited technical information such as the device's telephony state and permission status, and network requests to our server. The App does not collect your location, and it does not contain third-party advertising or advertising-based tracking.

2. Device permissions and why we use them

The App requests only the Android permissions it needs for its call-management purpose. You may grant or deny these; some call features will not work without them.

POST_NOTIFICATIONS · USE_FULL_SCREEN_INTENT To show incoming-call alerts and follow-up reminders.
READ_MEDIA_AUDIO · READ_EXTERNAL_STORAGE (older Android) To read call-recording audio files created by your device's dialer, so they can be linked to a CRM call.
FOREGROUND_SERVICE · WAKE_LOCK · RECEIVE_BOOT_COMPLETED To keep call detection running reliably in the background and after the device restarts.
INTERNET To securely send and receive CRM data to and from our backend server.

3. How we use information

We do not sell personal information, and we do not use it for third-party advertising.

We retain CRM and call records for as long as necessary to fulfil the purposes described in this policy and to meet our legal and operational requirements. When information is no longer required, it is deleted or anonymised.

6. Security

Access to the App requires authentication, and communication with our server is encrypted in transit (HTTPS). Access to CRM data is restricted by role. Authentication tokens are stored in the device's secure storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; users must keep their credentials confidential and use a secured device.

7. Data about students and minors

The App is used by staff and is not directed to children. However, enquiry and admission records may contain information about prospective or current students, some of whom may be minors. Such information is provided and managed in the course of our educational and admissions activities, and we process it in accordance with applicable law.

8. Your rights and choices

Subject to applicable law, individuals whose personal data we process may request access, correction, or deletion of their information, and may raise concerns about our processing. 9. Third-party services

The App relies on our own backend server and its hosting infrastructure. The App does not embed third-party advertising or advertising-analytics SDKs. Distribution is through the Google Play Store, whose own terms and privacy practices apply to the download and installation process.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will post the updated policy here. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
